Job Description

At Icomera, we build technology that keeps people connected while they're on the move. Every day, our solutions deliver fast, reliable internet and digital services on trains, trams, buses, and coaches - supporting millions of passengers across the world.

This is a critical role within our People & Culture function, ensuring accurate and compliant payroll delivery across EMEA and People administration. You will be based in Gothenburg and report to the Head of People & Culture EMEA.

Job type: Full-time

Workplace conditions: HybridLocation: Gothenburg, Sweden

About the Role

You will be part of our People & Culture team, working in an international organization supporting the EMEA region. The role combines full ownership of the Swedish payroll process with a coordinating responsibility for multi-country payroll across EMEA, including Italy, Germany, the Netherlands, and Spain. You will work with external payroll providers, ensuring accurate and compliant delivery.

Alongside payroll, you will support People operations, including employee lifecycle processes, People data, and day-to-day support to managers and employees. You will also contribute to improving and standardising People processes and systems. The role is highly independent and requires confidence in managing deadlines and priorities.

Key responsibilities

In this role, you will work hands-on across payroll and People operations, ensuring that processes run smoothly, accurately, and reliably across multiple countries.

You will also be responsible for:

  • Owning and running the Swedish payroll process end-to-end on a monthly basis

  • Coordinating external payroll providers across EMEA

  • Ensuring accuracy, compliance, and timely delivery across countries

  • Handling People administration, including joiner-mover-leaver processes and contract updates

  • Maintaining employee data and supporting reporting in HR systems

  • Identifying areas for improvement and contributing to the development of payroll and People processes

Requirements

To succeed in this role, we believe you have hands-on experience working with end-to-end payroll processes, including running payroll independently, as well as experience collaborating with outsourced payroll providers.

You are comfortable owning your area of responsibility and working in a structured way, with a strong understanding of payroll timelines and deadlines.

You have experience working in a payroll or HR system such as Flex HRM, or in several similar systems, and feel confident in your ability to learn and navigate new tools when needed.

Experience working across multiple countries is beneficial, but not a requirement - you should, however, feel comfortable taking ownership of learning new contexts and regulations when needed.

We also believe that you have experience in:

  • HR administration, HR coordination, or HR operations

  • Managing employee data and supporting HR reporting

  • Working in a structured way and managing recurring deadlines

  • Working in an international and/or multi-country environment

  • Communicating fluently in English and Swedish, both written and spoken

The following skills we see as meritorious:

  • Experience working with multiple payroll vendors in an international setup

  • Knowledge of HR compliance frameworks, policies, and reporting

  • Experience with SAP HR or similar systems

  • French language skills

Who You Are

To thrive in this role, you are structured, detail-oriented, and confident in your own expertise, with the ability to work independently and take full ownership of your area.

You feel comfortable managing payroll processes end-to-end, and are able to plan, prioritize, and ensure deadlines are met without close supervision.

You are proactive and solution-oriented, with a natural ability to navigate challenges and find ways forward when questions arise.

At the same time, you're a collaborative team player and strong communicator, who enjoys working with different stakeholders across the organization.

Our Offer

  • Health is important - we offer a comprehensive health promotion package to our employees

  • Flexible work arrangements - work from home for up to two days a week

  • Electrical bike lease agreement via net salary deduction

  • ITP Pension and collective bargaining agreement

  • A social work environment - board game nights, after works, seasonal parties... The list goes on!
