Office Coordinator

We're looking for an Office Coordinator to join our team in Ework's office in central Stockholm. This is a part-time role (50-75%) with a 6-month probationary period, suited for someone service-minded who genuinely cares about creating a positive and well-functioning workplace experience.

The team
You will be part of the People & Development team, a central function focused on creating a great employee experience at Ework. The team works across HR, culture, and workplace, and the Office Coordinator role plays a key part in bringing the physical office environment to life. You will work closely with colleagues across the business and be a natural point of contact for day-to-day office needs.
Role responsibilities
As Office Coordinator, you are the engine behind a well-functioning workplace. You handle a wide range of tasks; from daily office operations and kitchen management to onboarding support and event coordination - always with an eye for what makes the office feel welcoming, orderly, and professional.
The role will include (but not be limited to):
• Daily office operations: ensuring all common areas, kitchens, and facilities are well-maintained and stocked; handling deliveries, mail, and ad-hoc requests from colleagues
• Purchasing and supplier coordination: ordering office and IT supplies, food and beverages, flowers, and catering for recurring events such as the weekly Wednesday breakfast and after-works
• Onboarding support: preparing equipment, access cards, welcome kits, and providing practical assistance to new employees during their first weeks
• Meeting and visitor coordination: preparing meeting rooms, welcoming guests, handling conference equipment and logistics for internal and external meetings
• Access and safety administration: managing access cards, keys, and security systems; maintaining the crisis plan; supporting fire safety routines
• Event and activity support: contributing to the planning and execution of after-works, team celebrations, kickoffs, and other internal events
Office location: Ework's head office, central Stockholm.

• Have previous experience from a similar role; office coordination, facility management, reception, or a comparable service-oriented position
