People Administrator

Right now, we are looking for a People Administrator to join our People & Organization team.

As a People Administrator, you will help ensure that our people processes run smoothly, accurately and in compliance with applicable rules and agreements. You will be a key point of support for employees, managers, People Business Partners, Payroll and other specialist functions, with a particular focus on scheduling and time administration.

This is a hands-on role for someone who enjoys creating structure, solving practical problems and making everyday processes work better. As we are a growing company with very little silo mentality, the role will also provide opportunities to contribute beyond the responsibilities listed below.
  • Support employees, managers and People Business Partners with questions related to HR administration, scheduling, time reporting and other people-related topics.
  • Administer and maintain employee schedules in Medvind, ensuring alignment with labour legislation, collective bargaining agreements, working time regulations and internal policies.
  • Support managers and People Business Partners with scheduling changes related to leave, absences, overtime and operational priorities.
  • Prepare reports and data on overtime and other people-related KPIs to support informed decision-making.
  • Support day-to-day HR administration, including employee data updates, payroll inputs, benefits administration, onboarding, offboarding and employment changes.
  • Act as a first-line administrator and user support for Medvind and other relevant HR systems, including guidance on time reporting and scheduling.
  • Maintain templates, instructions and process documentation, while supporting system updates, migrations, data cleansing and other HR projects.
  • Identify opportunities to standardize, simplify and continuously improve people processes and the employee experience.
This is a temporary employment until end of August 2027 - with possibility of being prolonged.

Specific to this role, we would like to see that you can tick off a fair amount of the boxes below:
  • Experience in scheduling, HR administration, payroll administration, HR support or a similar People Operations role.
  • A basic understanding of core HR processes, such as scheduling, time reporting, hiring, payroll, benefits, onboarding and offboarding.
  • Experience working with HR systems and digital tools, including Excel. Experience with Medvind is an advantage.
  • Strong organizational and time-management skills, with a structured and detail-oriented approach.
  • High level of accuracy when handling employee data and preparing payroll or HR-related information.
  • Analytical and problem-solving skills, with the ability to identify issues and find practical solutions.
  • Ability to provide clear system guidance, user support and basic training to employees and managers.
  • A collaborative, proactive and service-minded approach, combined with discretion and professionalism when handling confidential information.
  • Experience from a start-up, scale-up or other fast-paced environment is considered an advantage.
  • A relevant academic degree is desirable but not a requirement.
