Your opportunity
As Office Manager for our Stockholm head office, you will play a key role in creating a professional, welcoming, and engaging workplace experience. You are instrumental in fostering an environment where employees enjoy coming to the office, collaborating with colleagues, and performing at their best.
You are the person who ensures the office runs smoothly every day and that the right conditions are in place for employees, visitors, and business operations. Working independently, you build strong relationships across the organization and serve as a trusted point of contact for a wide range of stakeholders. You are equally comfortable handling strategic initiatives and rolling up your sleeves to solve day-to-day operational challenges. No task is too small, and you take pride in ensuring that everything runs smoothly.
Who you will work with
As Office Manager, you will be responsible for the day-to-day operations of our Stockholm head office and play a key role in creating a professional, safe, and welcoming workplace for both employees and visitors. You will report to the Executive Assistant to the CEO, have direct people management responsibility for two Receptionists, and work closely with a wide range of functions across the organization.

The role combines operational excellence with strategic thinking and is ideal for someone who enjoys creating structure, driving improvements, and delivering a first-class workplace experience. You are comfortable navigating both daily operational needs and larger initiatives that contribute to the continued development of our office environment.
Key responsibilities:
Daily Operations
Oversee the day-to-day operations of the Stockholm office and reception area.
Manage and develop two Receptionists, including performance reviews, salary reviews, and workforce planning.
Suppliers & Vendors
Manage access control systems, locks, alarms, and visitor management processes.
Serve as the main point of contact for among others, the landlord, cleaning company, security provider, waste management services, plant care provider and coffee supplier.
Manage supplier relationships, contracts, and procurement of office services and supplies, including cleaning services, office materials, coffee, plants, and temporary staffing.
Health, Safety & Workplace Environment
As Fire Safety Coordinator you are responsible for coordinating and overseeing the organization's fire safety activities such as fire drills, safety procedures, safety briefings, and employee training.
Represent the office in the Work Environment Committee and coordinate annual BeSafe activities and initiatives.
Projects & Workplace Development
Act as the primary internal contact for office relocation and workplace improvement initiatives, coordinating efforts with external project managers, suppliers, and internal stakeholders to ensure smooth communication and successful implementation.
Culture & Events
Plan and coordinate employee engagement initiatives as wells as workplace activities such as Office Meetings, outdoor exercise activities, after works, and holiday celebrations, to foster a positive and engaging office environment.
Welcome new employees by coordinating workplace, equipment, company merchandise, and office onboarding activities.
Administration
Manage office budgets, oversee invoice processing, and ensure effective cost control and financial administration for office-related services and activities.
A variety of administrative tasks to support day-to-day operations.

Professional proficiency in Swedish and English, both written and spoken, is required.
Meritorious:
Experience in project management.
Experience in health and safety, fire safety, or security-related matters.
Experience with office relocations or workplace improvement initiatives.
