What will you do?
Manage and ensuring all systems are up to date, e.g keep organization charts, vacation list up to date, manage/remove SharePoint access
Arrange internal events, (booking, ordering foods)
Maintaining and coordinating all IT-equipment (telephone, computer, etc.)
Ensure the tools and appliance in the office is working, e.g ventilation, dish washer, coffee machine, copy machine/printer
Assist staff regarding questions related to our systems / processes / office.
Be the Contact person for suppliers, responsible for administrative tasks around the facility (Ordering company/office supplies, budget management)
Management of meetings, events and conferences and ensuring all tools are in place and function properly.
Assist the management team and colleagues with various administrative tasks.
Drive/coordinate office-related projects
Handling of mail and post
Manage the entry system and the alarm system (including printing the "Passage cards)
Ensure HSE related applicants is in place, such as heart starter, fire extinguishers)
"Car manager"- Contact person regarding car related questions - Monthly reports. Branding of all cars. Update car policy
PO Orders related to the office (PO of Consultants and other PO orders)
Qualifications:
Minimum 3 years of proven experience in office administration, office coordination, or a similar administrative role
Experience managing supplier relationships, purchasing office supplies, and coordinating office equipment and services
Strong organizational, time management, and multitasking skills, with the ability to prioritize effectively
Good working knowledge of Microsoft Office applications and general office systems
High level of integrity and discretion when handling confidential company and personnel information
