This role is well-suited for someone who already has some experience working with Workday and is eager to deepen their skills, with guidance and support from more senior colleagues. You will collaborate with HR, Finance, IT, and other stakeholders to ensure that Workday processes meet business needs and enable accurate, efficient, and user-friendly HR operations. The role includes maintaining system functionality and contributing to improvements across areas such as HR processes, talent management, local payroll workflows, and reporting.

About the role
HR Systems Specialist is responsible for maintaining and administrating global HR processes in Aspia's Workday Human Capital Management (HCM) system. This role involves close collaboration with other HR teams, Finance, IT, and business stakeholders to ensure that Workday processes align with organizational needs and deliver accurate, efficient, and compliant HR solutions.
Key Responsibilities
System Administration: Maintain and administrate global processes in Workday modules including HCM, Advanced Compensation and Talent Management.
Configuration & Optimization: Participate in configuring Workday business processes, workflows, security groups, and data fields to meet evolving business requirements.
Reporting & Analytics: Maintain Workday reports, dashboards, and calculated fields to support data-driven decision-making.
Troubleshooting: Provide Tier 3/4 support for system issues, data discrepancies, and process errors towards users.
Integration Support: Assist in troubleshooting integrations between Workday and other enterprise systems (e.g., payroll providers, finance systems, resourcing).
Testing & Upgrades: Coordinate and conduct testing for Workday releases, patches, and new features to ensure system stability and functionality.
Documentation & Training: Deliver admin user training and maintain global instructions to promote system adoption.
About you
You are solution-oriented, humble, and collaborative, and comfortable working in a fast-paced environment. You understand how HR processes work and are linked to business operations, and you enjoy helping people to learn and achieve their goals.
Education & Experience
- Bachelor's degree in Human Resources, Information Systems, Business Administration, or a related field.
- 2+ years of Workday experience in administration, support, configuration or implementation.
- Understanding of HR processes and having passion for systems and data, and how systems can support running HR processes effectively.
- Fluent in English, both written and spoken.
- Experience in working in international organization is seen as an advantage.
Practical information
- Location: Stockholm or Espoo
- Start date: As soon as possible, by agreement.
