Section assistant to TMS Central Verification

Role Summary
Within the Domain TMS Central verification in site Södertälje, you will be employed in the section TGRMVC - Complete Vehicle Test Enablers but you will also support the section TGRMVT Complete Vehicle Test Planning. You will play a central and trusted role in these two section management teams and supporting the section managers.
The role combines operational administration, financial and system related tasks, visitor and training coordination and internal communication. You act as a key enabler of efficient daily operations supporting managers, employees and visitors in Sweden and occasionally the US, while ensuring structured processes, accurate documentation and, smooth collaboration across sections.

The Complete Vehicle Test Enablers and Complete Vehicle Test Planning sections are responsible for global coordination of test vehicle builds, complete vehicle test planning and the development and operation of vehicle test infrastructure including proving grounds, vehicle workshops and external test sites. We also orchestrate test vehicles across projects and testing activities.

Job Responsibilities
- Act as a proactive and reliable administrative partner to section managers and management teams.
- Plan, coordinate, and follow up on meetings, management team activities, and strategic deliveries.
- Manage calendars, travel, invoices, purchase orders, IT orders, and budget follow-up in Scania and TRATON systems.
- Coordinate onboarding of employees and consultants, including access rights and administrative setup.
- Maintain and develop documentation, templates, policies, internal webpages, and information structures.
- Plan and administer internal trainings, workshops, section events, education bookings, and test related activities.
- Coordinate visitor activities within R&D, including facility access, test tracks, vehicle gates, and logistics.
- Provide structured service and support to internal customers regarding booking and coordination of test vehicles and test tracks.
- Contribute to the development and daily operations of the new test vehicle and test track reception building.
- Drive continuous improvement of administrative routines and contribute to the R&D assistant network and best practices.
Who Are You
- You have a relevant degree or diploma in office or business administration and communicate fluently in Swedish and English.
- Strong digital proficiency in MS Office, collaboration tools, web platforms, and administrative systems.
- Highly organized and detail-oriented, with the ability to manage complex administrative tasks with accuracy and structure.
- Self-driven and proactive, able to work independently and prioritize effectively in a dynamic environment.
- Demonstrates the ability to manage multiple parallel assignments, often with short notice, and make well founded priorities to ensure delivery and a high level of service.
- Demonstrates flexibility, professionalism, and high integrity in all interactions and responsibilities.
- Service minded, collaborative, and solution oriented, with a continuous improvement mindset.
- Contributes to the R&D assistant network and shared best practices, with the ability to maintain a reliable on-site presence (approximately four days per week).
