Job Overview

Our client is seeking a proactive and well-organized Programme Administrator to oversee and coordinate administrative operations at a management level. The role is critical in ensuring smooth programme execution by delivering structured administrative support, coordinating activities, and maintaining high operational standards across the department.

Key Responsibilities

Coordinate and administer programme-level activities, ensuring seamless execution of administrative functions

Organize, schedule, and support management and organisational meetings, including preparing agendas, documenting discussions, and sharing structured summaries with action items

Provide comprehensive administrative assistance to the department, enabling efficient daily operations

Oversee workplace facilities and resources, ensuring they meet programme and operational requirements

Manage travel arrangements, including bookings, itineraries, and logistics for management and stakeholders

Support procurement-related activities and handle invoice processing in line with internal guidelines

Assist in preparing and submitting expense reports with a focus on accuracy and timeliness

Handle onboarding and offboarding logistics for both internal and external programme resources

Establish and maintain administrative procedures and policies to enhance consistency, efficiency, and compliance

Required Experience

Minimum of 3 years of experience in administrative roles, preferably supporting management or programme-level operations

Demonstrated ability to manage multiple priorities in a structured and efficient manner

Strong organizational and coordination skills with attention to detail

Experience in handling meeting documentation, reporting, and administrative workflows

Education Requirements

Bachelor's degree or equivalent qualification in Business Administration or a related field (preferred)

Required Skills

Event planning and coordination

Strong proficiency in Microsoft Office tools, including PowerPoint and Microsoft Project

Travel planning and logistics management

General administrative support and coordination

Excellent organizational and multitasking abilities

Work Structure

The role is primarily based at the client's location in Lund, Sweden

The assignment workload is expected to range between 70% and 100%, with higher intensity during the initial phase
