Role PurposeThe Business Analyst is responsible for coordinating and stabilizing operational execution across systems, suppliers, warehouses and engineering partners (EPCM) within complex logistics setups.
The role ensures operational readiness, KPI transparency, and structured governance across internal teams and external partners (3PL, warehouses, contractors and customers).
The position acts as the operational "control tower" translating contracts and plans into measurable performance and continuous improvement.
Key Responsibilities
1) Data Quality & IT Systems Governance
Establish reporting milestones and performance tracking structure
Review current operational systems and support functions
Validate system capacity against operational requirements
Drive training and correct usage of operational systems
Ensure clear technical ownership (PIC) for system support
Coordinate development and connectivity between systems and EDC platforms
Define and align system usage across stakeholders
Improve data quality and reporting reliability
2) KPI Management & Performance Control
Implement operational KPI framework and reporting structure
Ensure responsible stakeholders understand KPI purpose and ownership
Coordinate analysis and presentation of performance data
Drive performance reviews with operational teams and partners
Key KPI areas:
Capacity planning & forecast adherence
Operational execution (OTD, order acknowledgement, delivery accuracy, lead time)
Incident management & recovery time
Cost control (contract utilization, deviation vs budget)
Third-party performance tracking
3) Supplier & 3rd Party Management
Establish operational SOPs with external suppliers
Create and maintain RACI responsibility matrices
Coordinate escalation structure and governance meetings
Ensure contract scope alignment and execution
Manage onboarding and sign-off (POA) processes
Align improvement roadmap with suppliers
Support DSV/customer steering of operational priorities
4) Warehouse Control (3rd Party Operations)
Define operational responsibilities between parties (RACI)
Map warehouse ownership, operators and utilization levels
Coordinate cargo information and vendor mapping
Support inventory control and operational reporting
Oversee loading capacity, equipment and sequence planning
Monitor quality, safety and compliance (QHSSE)
Track improvement activities and ensure closure
5) EPCM / Installation & Site Execution Coordination
Coordinate installation schedules and operational readiness
Align short-term and long-term operational forecasts
Ensure communication and escalation structures are followed
Monitor unloading capacity and site flow execution
Coordinate quality and safety measurements
Support project-to-operation handover

Qualifications & Experience
5+ years experience in logistics, supply chain, operations or project coordination
Experience working with 3PL/warehouses/suppliers in operational environments
Strong understanding of KPIs, operational reporting and performance management
Experience coordinating cross-functional and external stakeholders
Knowledge of WMS/TMS/ERP systems and operational data flows
Comfortable working in structured governance environments (SOP, RACI, escalation)
