Term Details: This position is a Locally Engaged Staff position, subject to the Terms and Conditions of Employment for LES in Sweden.

Summary of Duties:

Provide reception services to the Embassy primarily when the Receptionist is absent. When covering for reception, the individual has the primary responsibility for responding to calls from the public, as well as receiving Embassy visitors and clients. The incumbent may also support the Consular and Passport programs through application processing, client liaison and information management, and provides administrative support to the Management and Consular sections. On occasion, and as appropriate, the individual may be asked to act as an Administrative Assistant for one of the Embassy’s other programs (Foreign Policy or Commerce).

ESSENTIAL QUALIFICATIONS

Candidates will initially be screened against the Essential Qualifications relating to education, language* and experience.

Candidates must clearly demonstrate when applying to the position how they meet each of these essential qualifications.

*Language will be assessed further during the process.

Education:

Candidates will be required to provide proof of the completion of their education.

Successful completion of secondary education from a recognized institution

Language: proficiency in English and Swedish (oral and written).

Experience: minimum one (1) year of combined experience in front-line client service delivery AND providing administrative services OR providing logistical support OR record-keeping and information management.

RATED REQUIREMENTS

These are part of the essential qualifications. Methods of assessment may include, but are not limited to, a written examination, an oral interview, role-play, practical tests, presentations and/or psychometric assessment.

Knowledge of Microsoft Office (Word, Excel, Outlook) as well as of standard office procedures and practices.

Competencies:

Effective communication skills; interpersonal skills and client focus; judgement; organizational and time-management skills; attention to detail; adaptability/Flexibility

Asset Qualifications: Preference may be given to candidates who meet these. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications.

  1. Client service experience working with a diplomatic mission or international organization
  2. Experience working with data management software
  3. Proficiency in French (oral and written)

Operational Requirements:

  • Requirement to work directly with the public
  • Ability to work overtime outside normal working hours
  • Ability to work on Swedish holidays when the Embassy is open
  • Ability to work either from the Embassy or remotely (tools to be provided by the Embassy)

As recently announced by the Government of Canada, the Policy for Mandatory Vaccination: Canada and the Mission Networkis suspended as of June 20, 2022. The Government of Canada will continue to assess the need for additional public health measures, including the possible reintroduction of a vaccination mandate at a later date.

The results of this selection process will be used to establish one or more pools of qualified candidates for emergency contracts at the Embassy of Canada to Sweden.
