Position Description:
In this role, you will be the trusted partner, advisor and right hand to a Business Unit Leader, enabling them to focus on delivering business growth and strategic initiatives.
Your professionalism and discretion will ensure that the BU Leader's time is optimized, priorities and tangible goals are met, and operations run seamlessly.
In addition to this, you'll manage complex schedules, coordinate events, and ensure communications flow smoothly across CGI and with key stakeholders. You will also advise and give input on a broad variety of tasks.
You are used to base your decision on complex analysis and evaluation, with strong support of data when available.You'll take ownership of executive administration, drive process efficiency, and contribute to a culture of collaboration and excellence. Acting as a key liaison between the BU Leader and stakeholders, you'll play a central role in ensuring clarity, consistency, and alignment across all activities.
Your future duties and responsibilities:
Lead & Coordinate: Manage complex diaries, travel, and logistics with precision and foresight.
Facilitate & Communicate: Draft correspondence, prepare materials, and ensure timely responses on behalf of the BU Leader.
Organise & Deliver: Plan and execute business events, meetings, and forums, ensuring impactful outcomes.
Support & Enable: Provide confidential administrative support and cover peers where required.
Streamline & Prioritize: Identify priorities, manage workflows, and act as a trusted gatekeeper.
Collaborate & Connect: Build strong relationships across CGI and with external partners to enhance operational effectiveness.
Required qualifications to be successful in this role:
To succeed in this role, you'll bring extensive experience of working with senior executives within a complex, fast-paced organisation. You'll be proactive, detail-oriented, and confident managing multiple priorities while maintaining the highest standards of confidentiality and professionalism.
You have a solid business knowledge, preferably obtained as part of a global company.
Several years' experience in a complex business setting giving you the necessary insight into what supporting senior leaders requires.
Strong Microsoft Office and business administration skills. Ability to manage complex diaries, travel, and stakeholder communications.
Experience coordinating large events and producing professional materials.
Excellent written and verbal communication skills in both Swedish and English.
Most of all you are proactive, organised, and have a flexible approach with strong problem-solving ability.
Understanding of CGI systems or similar enterprise tools is advantageous.
High level of discretion and integrity when handling confidential information.
