The Document Controller within AFNORD's Project Management Office (PMO) is responsible for establishing, maintaining, and overseeing the controlled management of all project documentation in accordance with AFNORD's governance procedures, client requirements, and international standards.

This role ensures complete traceability of engineering, procurement, and construction documents across multiple stakeholders, enabling efficient communication, compliance, and audit readiness throughout the project lifecycle.

Key Responsibilities

Implement and maintain the Document Control System within AFNORD's PMO framework, ensuring consistency across all active projects.

Register, track, and control the receipt, review, approval, and distribution of engineering drawings, specifications, vendor data, and correspondence.

Maintain an up-to-date Document Master Register (DMR) and ensure proper metadata tagging, revision control, and audit trails.

Coordinate with EPC contractors, consultants, and internal PMO teams to manage transmittals and submittals in line with project procedures.

Support document review cycles, ensuring timely responses from technical reviewers and stakeholders.

Ensure that all as-built documentation, QA/QC records, and turnover packages are verified and properly archived.

Manage access rights and workflows within the Electronic Document Management System (EDMS) (e.g., Aconex, SharePoint, or similar).

Support the PMO's reporting and audit functions by providing accurate document control metrics and status dashboards.

Conduct compliance checks to ensure that all project documentation adheres to AFNORD's document numbering, naming conventions, and revision standards.

Provide training and guidance to project teams and contractors on AFNORD's document control protocols.

Assist with project closeout activities, ensuring documentation completeness and proper transfer to operations or client archives.

Required Qualifications & Experience

Diploma or Bachelor's degree in Engineering, Business Administration, or related field.

Minimum 4-6 years of experience in document control within EPC, infrastructure, or client-side project environments.

Proficiency in Electronic Document Management Systems (EDMS) such as Aconex, SharePoint, SmartPlant Foundation, or equivalent.

Strong knowledge of document control procedures, version control, and metadata standards.

Familiarity with engineering documentation, including drawings, data sheets, specifications, vendor deliverables, and technical correspondence.

Excellent attention to detail, organization, and data accuracy.

Good communication and coordination skills with a structured and service-oriented approach.

Proficiency in MS Office Suite and general digital document management tools.

Fluency in English (both written and spoken); Swedish proficiency is an asset.

Desirable Attributes

Experience supporting data center, energy, or industrial projects.

Knowledge of ISO 9001, ISO 27001, and other documentation-related quality management systems.

Experience generating document status reports, KPIs, and dashboards for management use.

Ability to thrive in a multi-project, multi-stakeholder PMO environment.

Strong understanding of confidentiality and data security protocols.
