We are seeking a highly organized and proactiveContract and Administration Specialist with Swedishto join our team. This role focuses on HR, administrative, and contract management activities, ensuring smooth operations and compliance across the Nordic countries. The ideal candidate will have a strong understanding of Nordic labor laws, exceptional administrative skills, and the ability to manage multiple tasks efficiently.
Key Responsibilities:
- Coordinate activities and operations across the Nordics to ensure efficiency and compliance with company policies.
- Supervise administrative tasks related to employees and contractors.
- Manage phone calls and correspondence with employees, clients, and external organizations/authorities, including but not limited to:
- Migrationsverket (Swedish Migration Agency)
- Försäkringskassan (Swedish Social Insurance Agency)
- Arbetsförmedlingen (Public Employment Service)
- Healthcare institutions, payroll providers, and legal entities.
- Support budgeting and bookkeeping procedures for the Nordic operations.
- Register new vendors and contracts in the company's system and database.
- Participate in client meetings to provide administrative and contractual support.
- Create and update records and databases with personnel, financial, and other critical data.
- Manage and oversee documentation for all Nordic countries to ensure compliance and accuracy.
- Oversee payroll processes for employees and contractors across the Nordics.
- Develop and implement new administrative processes and workflows for Nordic operations.
- Stay informed about current and previous labor laws and hiring regulations in the Nordic region.
- Book work-related travel for consultants on behalf of clients.
Qualifications and Skills:
- Fluency in Swedish and English (both written and spoken).
- Proven experience in HR, administrative, and contract management roles.
- Knowledge of Nordic labor laws and regulations.
- Strong organizational and multitasking abilities.
- Excellent communication skills to effectively liaise with employees, clients, and external authorities.
- Proficiency in Microsoft Office Suite and familiarity with administrative and payroll systems.
- Experience in budgeting and bookkeeping processes.
- Detail-oriented with the ability to manage sensitive information confidentially.
- A proactive and solution-oriented mindset.
